Terms of Service

Effective date: 25 July 2026  ·  Last updated: 11 October 2026

Summary: HandyTrack is a business management app for UK tradespeople. There is a permanently free tier and optional paid plans billed through the App Store or Google Play. Your business data belongs to you — you can export or delete it at any time. Please read section 8 (liability), which limits what we are responsible for.

1. Who We Are and What These Terms Cover

HandyTrack is operated by Terracode Limited ("we", "us"), a company registered in England and Wales. These terms form a contract between you and Terracode Limited covering your use of the HandyTrack mobile app, the customer booking portal, and handytrack.co.uk (together, the "Service").

By creating an account or using the Service you accept these terms. If you do not accept them, please do not use the Service.

These terms should be read alongside our Privacy Policy, Cookie Policy and Acceptable Use Policy.

HandyTrack® is a registered trade mark. Nothing in these terms gives you any right to use the HandyTrack name or logo without prior written permission from the trade mark owners.

2. Eligibility and Your Account

3. Plans, Billing and Cancellation

3.1 Free tier

HandyTrack has a permanently free tier — it is a working tool, not a time-limited trial. It is subject to usage limits (for example, on active jobs, quotes and invoices per month, saved customers, and photos per job). Current limits are shown in the app. We may adjust these limits, and will give reasonable notice of any reduction.

3.2 Paid plans

Paid plans (Pro and Team) are sold as auto-renewing subscriptions through the Apple App Store or Google Play. Those stores are the merchant of record: they take payment, issue receipts, and handle refunds. We never receive your card or bank details.

Team plans are priced per seat. The price shown in the app at the point of purchase is the price that applies.

3.3 Free trials

Where a free trial is offered, the trial length and the price that applies afterwards are shown before you confirm. Unless you cancel before the trial ends, the subscription renews automatically and the store charges you.

3.4 Renewals, cancellation and refunds

If your subscription ends, your account reverts to the free tier. Data above the free limits is not deleted, but you may not be able to create new records until you are back within the limits or resubscribe.

3.5 Price changes

We may change prices. Changes will not affect the period you have already paid for, and we will give reasonable notice before a change takes effect on renewal.

4. Your Data and Content

You own your business data — your jobs, quotes, invoices, customer records, photos, voice notes and documents. We claim no ownership of it.

You grant us a limited licence to host, store, transmit and process that content only so far as needed to provide the Service to you (for example, syncing it between your devices, generating a PDF, or sending a quote to your customer on your instruction).

You are responsible for the content you put into the Service, including having the right to hold your own customers' details and to use any images you upload.

4.1 Terms on your quotes and invoices

The quotes and invoices you send are contracts between you and your customer — we are not a party to them. HandyTrack includes standard terms and conditions as a convenient starting point, and you can replace them with your own at any time (Settings → Business, or on an individual quote or invoice).

The standard terms are general wording, not legal advice, and may not suit every business, job or customer. You choose the terms you issue, whether you use ours, edit them, or write your own, and you are responsible for checking they are suitable and lawful for your business — including your obligations to consumers, such as the 14-day right to cancel.

Export and deletion: you can request a copy of your data or ask us to delete your account at any time. See Your Data Rights. Some financial records must be retained for 7 years to meet HMRC requirements, as explained in the Privacy Policy.

5. Acceptable Use

You agree not to misuse the Service. In particular, do not:

Our Acceptable Use Policy sets this out in more detail. We may suspend or terminate accounts that breach it.

5.1 Illegal content in messages

HandyTrack's in-app messaging is a user-to-user service regulated under the Online Safety Act 2023. Illegal content is prohibited, and we remove it once we are aware of it.

You can report illegal content on any message from within the conversation, or by emailing abuse@handytrack.co.uk. Reports of illegal content are prioritised and reviewed within 24 hours. If someone is in immediate danger, call 999 first.

Section 6 of the Acceptable Use Policy explains in full how we protect you from illegal content, what happens to a report, and how to challenge a decision we make about your content or your account.

6. AI and Voice Features

HandyTrack uses AI to transcribe voice notes and to help draft quotes, notes and scheduling suggestions. These features are assistive: AI output can be wrong, incomplete, or misleading.

You remain responsible for checking anything the AI produces before you rely on it or send it to a customer — particularly prices, measurements, dates and totals. We do not warrant that AI-generated content is accurate, and it is not professional advice.

Which providers process this data, and on what basis, is set out in the Privacy Policy.

7. Availability, Offline Use and Changes

HandyTrack is offline-first: you can keep working without a connection, and your changes sync when you are back online. Sync depends on services we do not control, and conflicting edits made on two devices are resolved automatically, which can mean one version of a change wins.

We aim for a reliable service but do not guarantee uninterrupted or error-free availability. We may carry out maintenance, and may add, change or withdraw features. If we make a change that materially reduces a paid feature you rely on, we will give reasonable notice.

Keep your own records. The Service is not a substitute for your own backups or statutory bookkeeping.

8. Our Liability

Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited.

Subject to that, and because the Service is supplied for business use:

The Service is provided "as is" to the fullest extent the law allows. If you are a consumer rather than a business, this section does not affect your statutory rights.

9. Suspension and Termination

You may stop using the Service and delete your account at any time.

We may suspend or terminate your access if you materially breach these terms or the Acceptable Use Policy, if required by law, or if your continued use poses a security risk to others. Where it is reasonable and lawful to do so, we will tell you why and give you a chance to put it right first.

On termination you may request an export of your data. We will then delete it in line with the retention periods in the Privacy Policy.

10. Third-Party Services

The Service integrates with third parties including Apple, Google, and payment and communication providers. Your use of those services is governed by their own terms. We are not responsible for third-party services we do not control.

11. Changes to These Terms

We may update these terms. If a change is material, we will give reasonable notice — in the app or by email — before it takes effect. Continuing to use the Service after that means you accept the updated terms. The "last updated" date at the top always reflects the current version.

12. Governing Law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except that if you are a consumer you may also bring proceedings in the courts of the UK nation where you live.
